Need a Q1 corporate offsite checklist before calendars fill? Monday’s post covered holiday gatherings; this one is the practical planning list. Twin Canyons Ranch hosts company retreats of 10 to 100 on a working Longhorn and Hereford ranch between Granbury and Glen Rose. Use the checklist below whether you are a first-time planner or returning for another leadership weekend.
Write goals before you pick rooms
Write down three outcomes before you talk lodging. Examples: finalize the Q1 plan, reset a sales team after a hard quarter, or give executives two days without hallway interruptions. Goals decide whether you need a half-day session with dinner, one overnight, or a three-day agenda. They also decide whether sporting clays, a feeding tour, or quiet porch time belongs on the schedule.
Share those goals when you inquire. The ranch team can match meeting space and activities faster when they know what “success” looks like for your group.
Match lodging and meeting space to headcount
On-site lodging is the advantage. Seven waterfront villas plus the eight-bedroom Barn Suite keep the team on the property—no hotel shuttle. Two-bedroom villas sleep up to five; four-bedroom villas sleep up to ten; the Barn Suite sleeps sixteen. The Barn Suite’s common area is listed as meeting space for up to 20, which fits many leadership offsites. Larger sessions can ask about the Black Star Barn (about 150 at tables or 200 theater-style in the 6,000-square-foot barn; HDMI and PA available).
Drive times from the Metroplex are straightforward: about one hour from downtown Fort Worth, about ninety minutes from DFW, and about 1.5 hours from downtown Dallas. Most groups carpool or charter a bus once and stay put.
Build work blocks and ranch time
A simple two-day pattern works well: arrive midday, open session, afternoon activity, dinner; next morning strategy block, wrap-up, depart after lunch. Year-round sporting clays are the most-requested team activity. UTV ranch tours and animal feeding tours put people outside with the herd. Fishing the ponds is catch-and-release by default. Hiking, bonfires, and stargazing fill the gaps without forcing a program.
Do not over-schedule. The point of a Q1 offsite on a ranch is focus—and a little friendly rivalry that shows up again at dinner.
Confirm meals, logistics, and the invite list
Black Star Grille covers Friday and Saturday service (Friday 4:30–10 PM with happy hour 4:30–6 PM; Saturday 11 AM–10 PM). For retreat catering, private villa dinners, or weekday groups, call (817) 857-2624—do not assume a catering package until it is confirmed. Confirm headcount, dietary notes, arrival window, and whether you need breakout space at the Adventure Barn or covered patio.
Before you send the invite: dates, sleeping rooming list, meeting room choice, activity deposits or reservations, and a single on-site contact. Then use https://www.twincanyons.shop/contactus.
